Introduction

Following a significant merger, a Chicago-based family law firm faced challenges in streamlining its client intake process. Recognizing the need for modernization to enhance productivity and client experience, they turned to RevX for a transformative solution in automating their processes.

The challenge

The merger of the two law firms brought together diverse processes, leading to a cumbersome intake system:

Disjointed Processes:
It caused disjointed client intake and document generation processes.

Manual Time-Consumption:
Attorneys spent excessive time on manual tasks, especially generating retainer agreements.

Inefficient Document Creation:
The retainer agreement process involved copying and pasting client details into Word templates, which was inefficient and prone to errors.

Scaling Issues:
With an increasing number of clients, this manual process became unsustainable and slowed down client onboarding.

Lack of Automation:
The firm lacked a scalable solution that could automate the document generation process while maintaining accuracy and efficiency.

Our solution

RevX conducted a comprehensive assessment of the firm's existing workflows and identified key areas for improvement. The following steps were implemented:

  1. CRM Integration: RevX migrated the firm's client data into Lawmatics, a robust CRM platform, facilitating seamless data management.

  2. Template Creation: Nine distinct retainer agreement templates were created within Lawmatics, tailored to various case types such as commercial buyer and divorce.

  3. Field Mapping: Client information fields were mapped from the CRM to the respective templates, enabling automatic population of documents.

  4. E-Signature Capability: The system was configured to allow attorneys to generate and send retainer agreements for electronic signature with just a few clicks.

This automation streamlined the entire process, reducing manual input and expediting client onboarding.

The impact

The implementation of RevX's solution yielded significant benefits:

  • Time Savings: Attorneys and staff saved hundreds of hours monthly, previously spent on manual data entry and document preparation.

  • Increased Billable Hours: With administrative tasks minimized, attorneys could focus more on client work, enhancing revenue generation.

  • Improved Client Experience: Clients received prompt and professional service, with retainer agreements delivered swiftly and securely.

  • Operational Efficiency: The firm reduced its software platforms from nine to six, decreasing license costs from $19,169 to $17,462 annually.

Conclusion

By partnering with RevX, the law firm successfully transformed its retainer agreement process, aligning with modern legal practice standards. The automation not only enhanced internal efficiency but also elevated the client experience, positioning the firm for sustained growth and success in a competitive market.
