Context

Picture a sales rep opening Salesforce, working through a fresh batch of CYC/LYB leads — one of Thomas' largest inbound sources. The routing logic assigns them, but the "interest" is already 2–3 days old, and the buyer is likely comparing other suppliers by now.

The lag itself wasn't the real problem — it was that it had been treated as a fixed cost of the system rather than something to investigate.

Lead data was only flowing from Segment into HubSpot once a day, in a fixed 3am EST batch — a scheduling constraint sitting entirely outside the system anyone was looking at.

Solution

Two root causes, fixed in parallel, without a broader rebuild.

Rather than stopping at the first explanation, RevX traced the lag through both HubSpot and Segment, isolating the logic bug and the built-in delay from the separate batch-scheduling constraint upstream.

The HubSpot-side trigger condition and hardcoded delay step were corrected directly in the workflow, while the Segment sync frequency was reset in parallel — treated as one problem with two owners, not two separate tickets.
