Context

Here's a problem most hardware and equipment manufacturers know intimately: sales teams live in the CRM, but the actual product doesn't move through the CRM. It moves through a completely separate fulfillment system, with its own stages, its own timestamps, its own version of the truth. And nobody built a bridge between the two.

That's exactly where Avansa found themselves. Their sales team tracked every deal in HubSpot. Their shipments moved through 2Ship.

Since the two systems had nothing to do with each other, someone had to manually play messenger, checking 2Ship for packing slips and waybill numbers, then typing them into HubSpot.

Every one of those manual touch points was a place where the CRM could quietly fall out of sync with what was actually happening on the ground.

Our job was to make their systems talk so the manual step disappeared entirely.

Challenge

Deal data in HubSpot had no reliable connection to real shipment activity happening inside 2Ship.

Manual shipment updates
Packing slips, waybill numbers, and delivery status all had to be manually checked in 2Ship and typed into HubSpot one deal at a time.

Stages didn't trigger anything
Moving a deal forward in HubSpot didn't prompt any corresponding action, update, or data pull from the 2Ship side. 

Solution

RevX connected HubSpot, Zapier, and 2Ship so deal stage and shipment updates auto-trigger each other.

Triggering order pulls
When a deal reaches the "Quote Sent," stage, Zapier fetches the 2Ship order and packing slip and writes it to the HubSpot deal.

Triggering waybill pull
When a deal reaches the "Dispatch," stage, Zapier pulls the waybill number from 2Ship into the matching HubSpot property.

Delivery updates flow back
2Ship webhook fires on status change, and Zapier matches it to the correct HubSpot deal to update delivery status.

Structured HubSpot properties
RevX created dedicated properties and objects to store order, packing slip, waybill, and delivery data cleanly.

Line item tracking configured
Shipment and order information was structured at the line item level inside HubSpot deals.

Full flow tested pre-launch
The complete HubSpot–Zapier–2Ship integration was tested end to end before going live.
